Terms of Booking

Bristolian Transfers is a service of Bristolian Coaches, a trading name of AM2PM Innovations Ltd · Version 1.0 — July 2026

These terms apply to every booking made with Bristolian Transfers, whether through our website, by phone, or by email. By ticking the terms box on our booking form, or by paying a deposit, you confirm that you accept them. They are written in plain English on purpose — if anything is unclear, ask us before you book.

These service-specific terms apply to bookings confirmed through Bristolian Transfers and take precedence over the general Bristolian Coaches terms where there is any difference between the two.

1. Who we are

Bristolian Transfers is the airport, cruise and evening group transfer service of Bristolian Coaches, a trading name of AM2PM Innovations Ltd, a company registered in England and Wales (company number 15588001), registered office: 44 First Floor Office, Bath Hill, Keynsham, Bristol BS31 1HG. We operate under PSV Operator Licence PH2073385, which you can verify on the DVSA public register. Contact: office@bristoliancoaches.co.uk · 0117 990 1003.

2. How your booking works

  • Step 1 — Request: You send a booking request (via our website form, phone, or email). This is a request, not a confirmed booking — and no payment is taken through the website.
  • Step 2 — Confirmation & invoice: We check availability and reply with a written confirmation setting out your journey details and price, together with an invoice carrying a secure card payment link for a 25% deposit.
  • Step 3 — Deposit: Your booking is confirmed and a contract is formed when we issue written confirmation and your deposit is received. If the deposit is not paid within 3 days of the invoice, we may release the booking.
  • Step 4 — Balance: The remaining balance is invoiced the same way and is due 48 hours before travel. If the balance is unpaid at 48 hours before travel, we will contact you; if it remains unpaid, we may treat the booking as cancelled by you (see section 6).

3. Prices — what is and isn't included

  • Every published price is a fixed price each way for the vehicle — the 16-seat minibus, driver and luggage trailer are all included. A return is simply two one-way fares. Passenger transport in vehicles with 10 or more seats is zero-rated for UK VAT, so the price you see is the price you pay.
  • Prices are based on one pickup location and one drop-off location. Additional stops can usually be arranged and may carry a small extra charge — always agreed with you before we confirm, never added afterwards.
  • The price for your journey is the price stated in your written confirmation. Published prices may change from time to time, but a confirmed booking's price will not change except as set out in section 4 (airport and port fees).

4. Airport and port fees

Where an airport or port charges an access, drop-off or pickup fee, it is passed on to you at cost — at the rate advertised on the airport or port's own website at the time of booking. We never add a markup.

These fees are set by the airport or port operator, not by us. If the airport or port increases or decreases its fee after you book, your invoice will be adjusted to match — up or down — at any time up to 7 days before travel. Within 7 days of travel, your price is locked and will not change.

5. Changes to your booking

  • If you ask 14 or more days before travel, we will make one date or time change free of charge, subject to availability. Further changes, or changes inside 14 days, are at our discretion and may carry a charge — we will always tell you before anything is applied.
  • Changes to passenger numbers within the vehicle's capacity (up to 16) are free — just tell us so the driver knows who to expect.
  • Changes to pickup or drop-off addresses may change the price if they move the journey into a different zone; we will confirm any difference in writing before the change takes effect.

  • Cancellations must be made by phone or email and take effect when we acknowledge them.
  • If we have to cancel (for example, vehicle failure we cannot cover), you receive a full refund of everything paid, including the deposit, and we will do all we reasonably can to help you find alternative transport. Our liability is limited as set out in section 10.
  • These rights are in addition to, and do not affect, your statutory rights.

7. Airport pickups, timings and waiting

  • For airport arrivals, give us your flight number and we will monitor it — if your flight is delayed, we adjust your pickup where we reasonably can, at no charge.
  • For airport arrival pickups, up to 60 minutes' waiting after your flight's actual landing time is included. Waiting beyond this may be charged at £15 per 30 minutes, and we will always try to contact you before charges accrue.
  • For all other pickups, up to 15 minutes' waiting at the agreed time is included. Please be ready — late departures can affect other customers' bookings and, for airport departures, your own check-in time.
  • You are responsible for choosing a departure time that gets you to the airport or port comfortably ahead of your check-in deadline. We are happy to advise, but the choice — and the consequences of cutting it fine — are yours.

8. Luggage and the trailer

  • The luggage trailer is included as standard — there is no separate trailer fee. It comfortably takes a full load of holiday luggage: suitcases, buggies, golf bags and similar.
  • Tell us at booking about unusually large or heavy items (bikes, wheelchairs, surfboards, instruments) so we can confirm they fit safely.
  • Luggage is carried at the owner's risk except where loss or damage is caused by our negligence. Do not pack valuables, medication, or travel documents in the trailer — keep them with you in the vehicle.
  • Dangerous, illegal or flammable items must not be carried. The driver may refuse any item they judge unsafe.

9. On board — passenger conduct

  • The driver is in charge of the vehicle and may refuse carriage to anyone whose behaviour risks safety, or stop the journey if behaviour becomes dangerous. No refund is due where a journey is curtailed for this reason.
  • Seatbelts must be worn where fitted — it's the law. Passengers aged 14 and over are legally responsible for wearing their own.
  • We do not provide child car seats. You are welcome to bring and fit your own — tell us at booking so we can allow for it.
  • No smoking or vaping anywhere in the vehicle — it's the law. Alcohol may only be consumed with our prior agreement, and never in glass.
  • A valeting charge of £100 applies if the vehicle is soiled, and any damage to the vehicle or trailer beyond fair wear and tear will be recharged at the reasonable cost of repair.
  • Maximum 16 passengers. The vehicle will not be loaded beyond its legal capacity under any circumstances.

10. Delays, problems and our liability

  • We plan every journey properly, but road travel carries risks outside anyone's control — traffic, weather, road closures, accidents. We will always do what we reasonably can to keep you on time, including providing a substitute vehicle (which may be supplied by a trusted partner operator to the same standards) if ours is unavailable.
  • We are not liable for losses caused by events outside our reasonable control, or for consequential losses such as missed flights, sailings, connections, or holiday costs. We strongly recommend appropriate travel insurance for any journey connecting to a flight or cruise.
  • Except where the law does not allow liability to be limited (including death or personal injury caused by our negligence, where no limit applies), our total liability for any booking is limited to the price paid for that booking.
  • Nothing in these terms affects your statutory rights as a consumer.

11. Your information

We use the details you give us to manage your booking and provide the service — nothing else without your consent. Our privacy policy is at bristoliancoaches.co.uk/privacy-policy.

12. Complaints and contact

If something isn't right, tell the driver on the day where possible — most things can be fixed there and then. Otherwise, email office@bristoliancoaches.co.uk or write to AM2PM Innovations Ltd, 44 First Floor Office, Bath Hill, Keynsham, Bristol BS31 1HG. We aim to respond to every complaint within 14 days.

13. General

  • These terms, together with your written confirmation, are the whole agreement for your booking. Any variation must be agreed by us in writing.
  • If any part of these terms is found unenforceable, the rest still applies.
  • These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction.
